We are seeking a highly organized and proactive Program and Sponsorship Development Assistant to provide essential support in the planning and execution of the AFS Youth Assembly program. This role is ideal for someone who thrives in a fast-paced, mission-driven environment and has experience supporting program development, content creation on global issues, and coordination with partners and stakeholders.
As a key support member of the AFS Youth Assembly team, the Assistant will work under the guidance of the Director of the Youth Assembly to help ensure the program is compelling, relevant, and impactful for a global youth audience. The Assistant will play an important role in the coordination and administration of all program components, from research and outreach to scheduling and content tracking.
Qualifications:
- Previous experience in program coordination, conference planning, or a related field.
- Strong research skills and the ability to quickly understand and synthesize complex topics.
- Excellent written and verbal communication skills.
- Experience engaging with high-level professionals (ie., executives, UN personnel).
- Highly organized with strong attention to detail and ability to manage multiple tasks and deadlines.
- Prior experience coordinating virtual, hybrid, or in-person events.
- Self-starter comfortable working independently and collaboratively.
- Familiarity with tools like G-Suite (Docs, Sheets, Drive, etc.).
- Background or experience in international affairs and global issues (knowledge of the SDGs and UN agenda preferred)
- Global experience working with nonprofits or international organizations (preferred).
Responsibilities:
- Assist in researching emerging issues, trends, and themes relevant to the conference’s focus areas and help identify topics that will drive engagement and relevance for youth.
- Write concept notes on topics related to the Youth Assembly theme and tracks.
- Support the organization and structuring of the overall conference program, including sessions, panels, and formats.
- Assist in identifying, researching, and recruiting high-quality speakers, moderators, and content program partners.
- Coordinate outreach, follow-ups, and confirmations of speakers and contributors.
- Support the development of session content in collaboration with partners and ensure alignment with overall program goals.
- Help coordinate briefing calls, content reviews, and conference preparatory calls.
- Manage the collection of speaker bios, headshots, and materials for use in communications and event logistics.
- Track confirmations and updates using tools (e.g., G suite, spreadsheets).
- Help liaise with other teams (marketing, communications) to ensure timely communication and alignment on program needs.
- Provide regular updates on speaker recruitment and program progress.
- Assist in drafting content for promotional materials, agendas, and event platforms.
- Research and identify potential sponsors, donors, and strategic partners aligned with the Youth Assembly’s mission.
- Create sponsorship decks, proposals, and outreach materials.
- Support senior Youth Assembly staff and the AFS finance team in managing relationships with sponsors, including fulfillment of deliverables and recognition commitments.
- Assist in ensuring proper documentation and reporting of sponsorships and all other forms of partnership.
