We are seeking an enthusiastic, motivated and detail-oriented Recruitment and Registration Coordinator to support recruitment, delegate engagement and registration for the AFS Youth Assembly. This role gets to interact with thousands of youth from 100+ countries and help them pursue a life changing experience.
This role is ideal for an outgoing, people-oriented individual who enjoys connecting with youth from around the world and is passionate about global events. The ideal candidate brings energy and enthusiasm to every interaction. They are confident in representing the event publicly to participants, proactive in outreach, and persuasive in communicating the value of participation. Strong customer service skills and experience with application systems and audience communications are essential.
Reporting to the Director of the Youth Assembly, the Coordinator will shepherd delegates all the way from the recruitment stage of their experience to their in-person event participation.
Qualifications:
- Bachelor’s degree or equivalent experience in Marketing, Event Management, Hospitality, Communications, International Relations, or related field.
- Minimum 2 years of relevant experience in event recruitment, management, registration, customer service, and/or administrative support.
- Strong communication skills and patience for questions, with a commitment to delivering high-quality support. Experience with conferences or large-scale international events is a plus.
- Experience managing online registration systems and CRM platforms (e.g., Salesforce (preferred), Pardot, Cvent, Eventbrite, or similar).
- This role is not responsible for logistics, but will liaise frequently with our logistic’s manager. Experience or understanding of coordinating with venues, vendors, and service providers, especially at international or youth-centered events experience is a strong plus.
- Strong proficiency, Excel/Google Sheets, and online registration tools, and event apps.
- Attention to detail in relation to budget tracking and reporting processes.
- Ability to troubleshoot basic technical issues related to online applications and registration platforms.
- Highly organized and detail-oriented with a proactive mindset
- Strong interpersonal skills with a customer service orientation and mindset
Responsibilities:
- Drive overall event recruitment through different initiatives and strategies
- Work with existing partner networks, universities, youth organizations, delegation partners, and online platforms, and identify new ones, to drive recruitment.
- Coordinate with existing partners and discover new regional or global partners to drive recruitment and promote delegate applications.
- Be the driving force behind lead conversion. Identify qualified leads and communicate with them through 1:1 calls, messaging, and other personalized outreach methods.
- Support application completion, submission, and payment.
- Work in partnership with the Youth Assembly Ambassadors Program to drive recruitment by coordinating efforts and sharing lead reports
- Design, promote, and lead frequent virtual information sessions, webinars, or Q&A events for prospective delegates to generate leads.

- Provide timely and professional support to registered delegates and applicants, responding to inquiries and offering excellent customer service throughout the registration process.
- Coordinate the online application process, with the technical support and development by the digital team at AFS
- Support the AFS Youth Assembly team by managing engagement flows, and providing information and insights on demand.
- Provide regular reports on application and registration metrics, including participation numbers and engagement trends.
- Assist the AFS Team with data for budgeting, forecasting, and planning purposes.
- Coordinate the on-site check-in for participants.
- Oversee the registration desk and registration volunteers at the in-person Youth Assembly.
- Serve as a clearinghouse to resolve on-site issues and provide real-time, on the ground support during the event in partnership with the logistics team.
